Assistant Project Manager
Job Description:
Assists and supports Project Managers in coordinating the activities of a project to ensure cost, schedule, and quality standards are met. Perform various administrative duties to support project management including but not limited to computer requirements, paperwork, and communications, scheduling, and purchasing and tracking materials.
Essential Duties and Job Responsibilities:
- Assist Project Manager by obtaining pricing for the development of cost estimates
- Assist in the bid process with subcontractors by notification of project, creating bid forms obtain bid bonds, notices of addendums, record keeping and filing of submitted bids
- Complete material takeoffs
- Assist Project Manager in obtaining required permits for projects from governmental agencies and in coordinating required inspections by appropriate inspectors
- Prepare subcontracts with project manager
- Create electronic and hard copy project files and maintain document control and distribution
- Assist in the development and maintenance of construction project schedules
- Manage submittal process – receive, review, distribute and track submittals and submittal packages
- Assist Project Manager with processing shop drawings
- Assist Project Manager and Superintendent in coordinating the work of each trade
- Manage distribution of meeting minutes
- Assist in the development of punch lists and the follow-up necessary to ensure timely completion of work
- Create closeout documents to include warranties, material specifications, as-builts, plans, and certificate of occupancy
- Perform various office support services such as coordination of office correspondence, maintain monthly calendar and filing
- Coordinate accounting needs and information between Jacksonville and Gainesville offices
- Other duties that may be assigned by Project Manager

- Regularly required to sit and use hands to handle objects or controls
- Occasionally required to stand and walk
- Job requires occasional travel during the day to attend meetings and visit jobsites
- While on construction sites, all of the normal hazards will prevail, including noise, dust, falling objects and any of the dangers that occur on a construction site
- Occasionally work in outside weather conditions
Job Skills, Knowledge, Training and Experience:
- Knowledge of construction principles, techniques and procedures.
- Proficient in the use of computers and software programs for job costing, scheduling, and estimating.
- Excellent oral and written communications skills.
- Ability to read architectural plans and specifications.
- Skills in organizing and evaluating information and problem solving.
- Ability to coordinate several major activities at once and prioritize tasks according to schedule demands.
- Ability to perform routine duties independently with minimal direction or supervision.
- Able to analyze and resolve problems.
- Personal drive, initiative and resourcefulness.
- Proven driving record – capable to run errands.
Education and Training Requirements::
2-4 year degree in construction management, construction science or engineering and/or 5 years of project management experience in the construction field.
Licensing Requirements:
Valid Driver’s License with clean Motor Vehicle Record
